Meeting Cost Calculator
A meeting has a cost equal to the people in it times how long it lasts times what an hour of their time costs. You can use one average or a rate per person. Repeats assume the same meeting happens every week or every month.
Calculator
How the number is produced
Cost = sum of (each hourly cost × hours). Hours = minutes ÷ 60. Per minute = cost ÷ minutes. A weekly repeat for a year is cost × 52. A monthly repeat is cost × 12.
Worked example
6 people, 30 minutes, €50 an hour average. Cost = 6 × 0.5 × 50 = €150. Per minute is €5. Weekly for a year is €7,800.
When this is useful
A recurring meeting has no agenda and you want a number that is harder to wave away than “it is only half an hour”.
Limits
Hourly cost is whatever you type. It is not a salary loaded with overhead unless you already included overhead in the rate. Repeats ignore holidays and cancelled weeks.
More on the assumptions is on how the calculators work.
Questions
Should the rate be salary or a loaded cost?
Use the figure you are willing to defend. A salary ÷ hours ignores overhead. A loaded cost is higher. The page will not choose for you.
